How to Renew a Sponsor Before the Contract Ends
A successful sponsorship renewal starts before the sponsor sets next year's budget, not when your contract is about to end. Bring proof of what you delivered and a forward-looking offer that improves on this season, decide your price, term and fallback before talks open, and set a decision date that leaves you time to replace the partner if the answer is no.
When should you start a sponsorship renewal?
Start before the sponsor's budget meeting, which is usually months before your contract ends. Sponsorship Collective says brands typically set next year's budget one to two quarters before the contract date, that the renewal is effectively decided in that meeting by your internal champion, and that you should ask each sponsor when they budget and plan backwards (Sponsorship Collective).
CoachingArea suggests renewal windows by type of deal (CoachingArea):
| Type of partnership | When to open renewal talks |
|---|---|
| Season partnership | 8 to 12 weeks before the season ends |
| Tournament sponsorship | 1 to 3 weeks after the report |
| Annual partner | 2 to 3 months before expiry |
| Main sponsor | Earlier still |
For UK football and rugby, a season ends in May, but a sponsor budgeting on the calendar year may lock next year's spend in the autumn. If so, the conversation about next season starts mid-season.
Power Sponsorship recommends an exclusive negotiation window that closes early enough to find a replacement if talks fail; its sample letter proposes presenting the offer in October and concluding by the end of January (Power Sponsorship). For the wider renewal pipeline and warning signs, see our sponsorship management guide.
What should you prepare before the renewal meeting?
Prepare evidence, an honest view of the relationship, the sponsor's own goals and your fallback. The evidence is your sponsor report, covered in our guide on how to write a sponsor report. This guide picks up where it ends.
- An honest assessment. If problems were partly your fault, own them and show the fix. If the sponsor under-used the deal, offer to help build a leverage and measurement plan before you renegotiate (Power Sponsorship).
- The sponsor's real goals. IEG recommends asking for candid feedback on gaps, the brand's funnel stage (awareness, consideration, conversion or loyalty) and the KPIs it will judge the deal on (IEG).
- Your available inventory. Know what is unsold or new: a sleeve, a women's team kit, extra LED minutes. See our sponsorship inventory guide.
- Your fallback. Decide in advance what you will accept: a smaller deal, a different asset, or letting the partner go.
What should a renewal proposal include?
A renewal proposal should be an upgrade, not a repeat of last year's deck with new dates. IEG makes this point directly: renewals should level the partnership up, built around the brand's stated KPIs (IEG).
CoachingArea sets out a six-part renewal pitch that frames the renewal as development rather than a request (CoachingArea):
- A review of what was agreed and what was delivered.
- The impact on the sponsor's objectives.
- What you both learned.
- A recommendation for next season.
- A concrete offer, with assets and price.
- A decision step, with a date to finalise.
Your champion has to sell the renewal internally, and Sponsorship Collective notes that liking the property is not enough: they need documented proof to defend the spend (Sponsorship Collective). A new asset they can see is far easier to approve than one described in a bullet point.
A renewal offer is a pitch, and Sportworks is built for pitches: Designs shows the partner's logo on next season's kit, sleeve or LED boards from your own inventory photos, and Video turns an activation idea into a short LED animation. For the deck itself, see our guides to building a sponsorship pitch deck and sponsorship mockups.
Should you raise the price at renewal?
Raise the price only when you add value or can show the deal outperformed, and offer options rather than one number. A first right of refusal does not lock the price or package: you can propose a more appropriate, higher-tier one (Power Sponsorship).
From the brand side, IEG's Dan Kozlak argues that fee rises without added value are hard to justify. He suggests adding assets that worked, capping sponsor numbers, exposure kickers tied to attendance or viewing, and independent performance audits (ANA).
Common options at renewal:
| Option | When it fits |
|---|---|
| Same price, longer term, plus extras | The sponsor is price-sensitive but committed |
| Stepped price over a multi-year deal | You want growth without a single large jump |
| Higher-tier package | You have new or better inventory to offer |
| Performance kicker | Results depend on attendance, viewing or engagement |
Sponsorship Collective describes a renewal offered as two options, a pricier one-year deal or three years at the same price with extra activations; the sponsor chose three years, and the author argues that repeated rises can eventually price a sponsor out (Sponsorship Collective). At grassroots level, Maroochydore Rugby Club in Queensland moved established sponsors to three-year deals with modest stepped prices: its Gold package is A$7,500 (AUD) in 2026, A$8,000 in 2027 and A$8,500 in 2028, with first right of renewal (Rugby Australia). At the top end, SportBusiness reported that Infosys extended its Roland-Garros sponsorship for five more years after its first three-year deal, with a fee increase of nearly 15% (SportBusiness).
How do you turn a renewal into a multi-year deal?
Propose a longer term than you expect to get, and give the sponsor a reason to commit, such as a held price, extra assets or a set path to extend. Sponsorship Collective advises proposing three years for deals from about US$25,000 (USD) and five years for six-figure deals, accepting you may settle on three, and notes that sponsors rarely raise multi-year terms themselves (Sponsorship Collective).
Power Sponsorship lists the benefits for rights holders as a deal that survives your contact leaving, steadier income in a downturn and fewer sales cycles, while sponsors tend to see results build in years two and three (Power Sponsorship).
If a sponsor will not commit to a long fixed term, offer a "plus" structure, such as two plus one plus one, so they can extend in set steps (Power Sponsorship). This fits the market: in January 2026, Morgan Lewis's Don Shelkey described rights holders moving towards shorter terms with renewal options or review periods, and sponsors asking for clear performance metrics and audit rights (Morgan Lewis). Our guide to sponsorship contract clauses covers renewal and matching rights.
Can you renew a sponsor early?
Yes, and many of the strongest renewals are agreed well before the current deal expires, often by adding scope. Recent examples across levels:
- Arsenal and Emirates extended their partnership to 2033 in August 2026, keeping front-of-shirt, stadium naming and the Emirates Cup (Reuters via The Star). Arsenal's chief executive Richard Garlick linked the deal to the club's 2025-26 title (SportCal).
- Peterborough United and Mick George agreed a three-year shirt extension to 2028 in July 2025. The club says the partnership will reach 15 seasons and calls it the longest-running shirt sponsorship in the EFL (Peterborough United).
- Crewe Alexandra and Zzoomm extended their back-of-shirt deal to 2028 in August 2026 (Zzoomm).
The pattern: renewals that add something, such as a new asset or a longer term, give both sides a reason to sign early. Growth at renewal works at title-sponsor level too: when Barclays renewed its Women's Super League and Women's Championship title sponsorship to 2028 in 2024, it said it was doubling its investment from the previous contract term (Barclays).
What do you do if a sponsor says no or wants to pay less?
Debrief quickly to find out whether the problem is the offer, the relationship or both, then decide whether a smaller or different deal is worth keeping. Power Sponsorship advises having that fallback ready without resorting to hardball, and warns that guilt, entitlement, threats of bad publicity and going over your contact's head all backfire (Power Sponsorship).
If the answer is unclear, CoachingArea suggests asking which goals were not met, what the sponsor needs to decide, who else is involved, and whether the deal should be larger, smaller or different (CoachingArea).
Sometimes the cause is outside your control. An EASM conference paper by Grohs and Mutschler groups the reasons sponsorships end into five categories: financial, organisational, strategic, legal and misconduct by the rights holder (EASM). Premier League clubs' agreement to remove gambling sponsors from the front of shirts from 2026-27, but not sleeves or hoardings, is a legal example that can push a renewal towards a different asset, such as a sleeve (Sky Sports).
Keeping a downgraded partner is often worth it: in Sponsorship Collective's view, replacements usually start at entry-level spend (Sponsorship Collective). But some renewals are not worth pursuing, for example where demands would harm the fan experience (Power Sponsorship).
What does a renewal timeline look like in practice?
Here is a hypothetical example, for illustration only; it is not based on any Sportworks customer. A National League club has a sleeve sponsor on a two-year deal ending in May 2027. At a September check-in, the club asks when the sponsor sets its budget and learns it is October.
In early October the club sends a mid-season results summary, then a renewal deck with three options, each showing the sponsor's logo on the actual asset: the same package for one year; the same price for three years plus an LED animation and the women's team sleeve; or an upgrade to back of shirt. Deck tracking shows a second viewer opened it and the three-year slide held the most attention, so the follow-up call starts there. The decision date is the end of January, with a one-year renewal as the fallback.
How Sportworks helps
Sportworks.io is the AI platform for sports commercial teams, and a renewal offer is exactly the pitch it is built to produce.
- Designs puts the partner's logo on next season's kit, sleeve, LED boards and signage from your own inventory photos, with matching colour, sizing and perspective.
- Studio and Video turn activation ideas into branded visuals and short clips, including LED animations and social formats.
- Decks builds a personalised renewal deck for each partner from your own template, with visuals, inventory and pricing, exported to PPTX or PDF. It suits tiered options and stepped pricing.
- Deck tracking gives open notifications, per-viewer sessions, dwell time and a slide-by-slide heatmap, so you see whether your champion shared the deck and which option got attention. It is a signal on the pitch, not a measure of sponsorship performance.
- Scale generates personalised pitch assets for many brands in one run, useful for upsell offers across a whole business club.
MK Dons' Chief Commercial Officer says: "It lets us show a prospect exactly what their brand looks like on our inventory before they've even signed." According to Sportworks client data, customers see 10x faster production, a 50% cost reduction and 3x more conversions (Sportworks customers). Sponsor management and reporting are on its roadmap; today it is the pitching layer. See our overview of Sportworks.
FAQs
How many months before the contract ends should I start a renewal?
Work back from the sponsor's budget date rather than a fixed number of months. Brands often set budgets one to two quarters before the contract date (Sponsorship Collective), so ask each partner when theirs is.
Does a right of first refusal mean the sponsor gets the same deal?
No. It gives the sponsor first chance to renew, not a right to the same package at the same price (Power Sponsorship).
What should a renewal email say?
Thank the sponsor, name specific benefits you delivered, show what is new next season, and make a clear ask with an amount, a deadline and a named contact (Donorswall).
